Data protection declaration of TU Wien: ‘Action research: Mobility of teenagers in aspern Seestadt’ (User Privacy Declaration)

Dear teenagers (and legal guardians),

We warmly invite you to participate in our study on the topic of ‘Mobility of teenagers in aspern Seestadt’! Your answers will help us to better adapt transport and spatial planning in aspern Seestadt to the needs and wishes of you and other young people. By taking part, you are therefore making a valuable contribution to improving mobility in the neighbourhood!

Who are we and what do we do?

We are the aspern.mobil LAB (AML), a mobility laboratory run by two research units at the TU Wien. As a laboratory, we investigate people’s mobility behaviour and try to make mobility more sustainable with our work. We want mobility services to be better adapted to people’s needs and bring together residents, researchers and companies. The AML is funded by the Federal Ministry for Climate Protection.

As our name suggests, we are primarily investigating the mobility behaviour of people in aspern Seestadt. We were commissioned by Wien 3420 aspern Development AG to take a closer look at the mobility of young people. Wien 3420 is responsible for infrastructure and urban development in aspern Seestadt. The study is financed by the aspern Mobility Fund.

Why is the study needed?

  • We want to better understand the mobility behaviour and mobility needs of young people in different age groups.
  • What are the typical mobility routines of young people? These include: The combination of different means of transport within a journey, the choice of means of transport depending on the purpose of the journey or the (time of) day, changes in mobility behaviour according to the season and weather, etc.
  • How is the mobility of young people in aspern Seestadt changing and what will a needs-based mobility offer look like in the coming years?
  • How do the mobility needs of young people in aspern Seestadt differ from those of other groups?

Based on these findings and data, improved, fact-based planning of specific local and regional mobility offers is made possible. In addition, the results of the action research in the form of publications and contributions will contribute to a scientific discourse on the topic of recording the mobility behaviour of young people.

Your participation is central to the above-mentioned goals and questions – which is why we endeavour to make the survey varied and interesting. Furthermore, data protection and its safeguarding is an important concern for us. The processing of personal data is carried out in strict compliance with the principles and requirements laid down in the GDPR (General Data Protection Regulation), the Austrian Data Protection Act (DSG) and the Research Organisation Act (FOG). TU Wien processes only those data that are necessary to achieve the intended purposes and always endeavours to ensure the security and accuracy of the data.

Participation is free of charge and voluntary. There are vouchers for the participants as a thank you. The issue of vouchers depends on the time invested by the participants. More detailed information below.

This survey is being realised by the TU Wien, Transportation System Planning Research Unit. Under the direction of Prof Martin Berger, M.A. Céline Schmidt-Hamburger coordinates a team of 2-3 employees. The survey and analyses are carried out internally with other data experts at TU Wien.

This data protection information describes the extent to which and how we process personal data in connection with this survey and makes it clear that the responsible handling of personal data is of particular importance. Data and survey methods

Below is a rough overview of the information we need from you to answer the above questions:

  • Information about you as a person, e.g. age, gender, place of residence (directly in aspern Seestadt or the surrounding area), ownership of and attitude towards certain means of transport, etc.
  • Information about your household, e.g. the number of people you live with
  • Data about your mobility behaviour, i.e. the journeys you make, the means of transport used and the purposes of the journeys
  • Contact details for communication relating to the survey (e.g. e-mail address for the voucher prize draw or if you are interested in participating in the other parts of the study such as the workshop)

This information is collected as follows and then stored separately (apart from the contact details) without your name (pseudonymised). Re-identification is only possible via a randomly assigned user ID.

  • Personal information: (1) sounding board, (2) online survey, (3) workshop
  • Household information: (2) online survey, (3) workshop
  • Information on mobility behaviour: (2) online survey, (3) workshop
  • Contact details: (1) sounding board, (2) online survey (if participation in the prize draw or workshop is desired), (3) workshop (to conduct the workshop and the declaration of consent from the participants’ legal guardians)

As we do not own all of the technologies required for the survey and external partners offer innovative and secure solutions, we work together with the technology partners listed below (in italics).

(1) Sounding board 

The sounding board will comprise around four to five teenagers whose task it is to support us as an advisory body during the study process. The participants will provide us with organisational, methodological and content-related feedback from the perspective of adolescents so that adjustments can be made if necessary. The committee represents an additional control lever for compliance with research ethics and data protection issues and increases the probability of conducting a successful survey. Participation is voluntary.

The following data is required for the collaboration:

  • Name
  • Age
  • Gender
  • Contact details for arrangements and voucher processing
  • Information on the legal guardians (declaration of consent for participation)

(2) Online survey

An online survey taking around 10 minutes is used for the first part of the study. The partner (technology provider) of TU Wien LimeSurvey GmbH [1]. The information is collected on a server at TU Wien, with server hosting provided by TU Wien. The effort is kept to a minimum by using filters (e.g. omitting certain questions if they do not apply).

Teenagers under the age of 16 can pick up a printed copy of the questionnaire from us.

We ask you to answer the following questions in this questionnaire:

  • Socio-demographic information about participants (age, gender, approximate place of residence (in aspern Seestadt or the surrounding area), questions about the household (type of housing / number of household members), availability of means of transport, use of electronic devices, …)
  • Further questions about mobility behaviour (availability of and attitudes towards means of transport and time or discount cards for public transport, mobility routines)
  • Possibly an e-mail address (for participation in the voucher prize draw or request to participate in other parts of the study)
  • Information on legal guardians for participants under 16 (declaration of consent for participation)

We use the programmes Excel [2] and SPSS [3] to evaluate the questionnaire. The programmes are used by research institutions such as the TU Wien primarily for the evaluation of surveys and are therefore ideally suited for our study.

(3) Workshop

As the second part of the survey, we will host a workshop with around 30 teenagers. The aim of the workshop is a detailed analysis of the mobility needs, wishes and behaviour of adolescents in aspern Seestadt. The following information is required to conduct the workshops:

  • Socio-demographic information about participants (age, gender, approximate place of residence (in aspern Seestadt or the surrounding area), questions about the household (type of housing / number of household members), availability of means of transport, use of electronic devices, …)
  • Further questions about mobility behaviour (availability of and attitudes towards means of transport and season or discount tickets for public transport, mobility routines)
  • Contact details for arrangements and voucher processing
  • Information about parents/guardians (declaration of consent for participation)

To ensure that no important statements are lost in the group format, we will record the workshop or the ‘interviews’ with the teenagers using audio recording devices if necessary. We use our own special audio recording devices for this purpose, which store the recordings directly on the device. The audio recordings are only used as a memory aid and are neither passed on to third parties nor published. We record the content of the conversation in writing in so-called sequence-based transcripts. This means that there are no complete transcripts (‘word for word’) of the conversations. Both our notes and the audio recordings are stored on a TU Wien server to which only selected employees have access (as with the online survey).

We use the software MAXQDA [4] to analyse all the collected data. The programme is used by research institutions such as the TU Wien for interview analyses and focus group analyses, among other things, and is therefore ideally suited for our study.

Data storage and processing and other recipients of personal data

Data processing takes place locally on TU computers. The final data is stored separately locally and in a folder on the TU-Owncloud to make re-identification as difficult as possible. We thus protect your data – external persons cannot determine who has taken part in the survey and which routes the person has travelled. As a research institution, TU Wien is subject to various retention periods, which may necessitate long-term storage of the data from the survey (up to 10 years). Only a selected group of researchers at TU Wien has access to individual data sets, depending on the task and research interest (e.g. only to the contact details in order to communicate with you regarding the survey process). The data / findings (if thematically relevant) will be used by the MOVE research team for future research projects in the research area. All employees involved here are obliged to comply with the legal requirements. Personal data will only be transferred to other recipients if we are obliged to do so by law or by official order.

 

Compensation for efforts

After successful participation, participants will receive a voucher for goods following active consent. The following vouchers will be handed out according to the different amounts of time invested:

  • Participation in the sounding board: All participants will receive a voucher worth €10 for their favourite shop in aspern Seestadt (individual choice from the list on our AML website) after successfully completing the survey.
  • Participation in the online survey: After voluntary consent and provision of contact details, three vouchers worth €10 for shops located in aspern Seestadt (individual choice from the list on our AML website) will be raffled off among the participants .
  • Participation in the workshop: All participants will receive a voucher worth €10 for their favourite shop in aspern Seestadt (individual choice from the list on our AML website).

We need your consent to use the contact details you have provided for processing.

 

Legal basis and data protection rights

We process your data exclusively for the research purposes described above on the legal basis of your consent.

You have the following rights (please get in touch with our contact person if you have any questions):
